Outgoing Mobility - Academic Staff

The Hebrew University offers numerous opportunities for academic faculty members to undertake a staff mobility stay at one of our partner universities. An outgoing teaching mobility is an excellent opportunity to promote institutional ties at various levels. Depending on the inter-institutional agreement with the specific partner university, a teaching staff mobility can take place in any subject area and academic discipline. 

There are two main tracks for Calls for Applications: 
1. Bilateral Agreements  
2. Erasmus+

1. Bilateral Agreements

How to Apply?

The International Office publishes an annual Call for Applications. The call is published on the website of the International Office and sent to all staff members via the internal messaging system of the university. It contains comprehensive information on the mobility period, eligibility, grants etc.
Note: The list of universities and details of the grant components may change from year to year.

Application Documents

The application must be submitted to the International Office, documents must be submited in PDF files and sent to Ayala Feinmesser Mizrahi email: AyalaFM@savion.huji.ic.il
Application documents:

  1. A letter of motivation and a description of the mobility plan

  2. A letter of invitation from a host at a partner university 

  3. A CV

  4. Other documents – as requested

Selection

After the Call for Applications has been closed, Hebrew University’s Evaluation Committee will review the applications and choose the outgoing candidates. Applicants will be notified of the outcome of the selection process.

Nomination

After the staff member has accepted the mobility offer, Hebrew University will notify the partner university by e-mail of the staff nomination. Please note that the internal selection does not yet guarantee that the mobility will take place. 

If the partner university accepts the proposed staff mobility, they should send the nominee an invitation letter after they have received all required documents. 

2. Erasmus+ Agreements

The Erasmus+ Staff Mobility Action program enables academic staff from HUJI to conduct a short teaching visit at one or more of our European partner universities.

The program aims to present staff members with the opportunity to share expertise, experience different teaching environments and acquire new, innovative pedagogical and curriculum-oriented design skills as well as digital skills. Furthermore, participants are encouraged to develop common activities with their colleagues abroad, thereby enhancing cooperation between higher education institutions.

The participants nominated under inter-institutional agreements receive an Erasmus+ grant as a contribution to their travel and subsistence costs. Grant levels and fixed rates for exchanges between EU member states and third countries not associated to the program are published in the Erasmus+ Programme Guide.

The International Office will be pleased to provide guidance on existing collaborations with specific institutions and offer suggestions on meetings and discussions that can be arranged during the mobility period.
 

Before the Mobility

Publication of the Call for Mobility Applications
Hebrew University publishes annual Calls for Applications for staff mobility via the International Office (university- level agreements covering all fields) and via the academic units (faculty-level agreements limited to specific fields). We recommend to watch out for announcements from the International Office and the academic units. Updates will also be published on the website of the International Office.

Application
Staff mobility applications must be submitted online to the International Office or the academic unit, as specified in the call.
Required application documents:

  1. A letter of motivation and description of the mobility plan
  2. A letter of invitation from a host at a partner university
  3. A CV

Selection
After the Call for Applications has been closed, Hebrew University’s Evaluation Committee will review the applications and choose the outgoing candidates, in with Erasmus + program regulations that require “a selection process that is fair, transparent and documented, ensuring equal opportunities to participants eligible for mobility.” Applicants will be notified of the outcome of the selection process.

Mobility Agreement for Teaching
The host institution will send the HUJI faculty member a Teaching Mobility Agreement, which will form the basis of the mobility and define the goals of the visit. The form needs to be confirmed and approved by staff member, as well as the sending and the receiving institution. At HUJI, the chair of the department/dean of the faculty should sign digitally as the “sending institution” before the document is sent to the host institution.
The fully signed version should be e-mailed to the Erasmus+ coordinator at HUJI’s International Office (ayalafm@savion.huji.ac.il) for our files. Scanned/digital signatures are acceptable.

Planning the Mobility

Travel Expenses
Travel expenses will be reimbursed to you by the host institution according to a fixed rate. Each institution works with a different mode of payment and this information should be provided to you by the International Office of the partner. We recommend to keep all boarding cards and travel receipts.  

No funds will be transferred to HUJI.

Insurance
Participants must have medical and travel insurance for the period of their stay, with coverage of at least the following services: medical care, medical transfer of the sick and injured to their home country, transport of mortal remains and private civil liability insurance.

Program
The program will operate according to the Teaching Plan Agreement. Staff will be required to teach at least 8 hours a week (5 working days).
Any additional meetings with potential cooperation partners, meetings with students and university officials etc. can be set up in conjunction with your hosts.
The International Office will be pleased to provide guidance if necessary.

After the Mobility

Follow up Questionnaire
Staff who participate in the exchange program will be asked to submit a short report after returning.
These surveys will be reviewed by the International Office.

Outgoing Mobility - Administrative Staff

Erasmus+ enables administrative staff from HUJI to participate in a mobility at an Erasmus+ partner university, which aims at supporting the staff member’s professional development. 
Various types of stays at the partner universities are available: 

  • Study visits/work shadowing 
  • Attendance at an International Week or Partner Days 
  • Attendance at other workshops
  • Other training measures are available upon prior agreement 

An individual mobility usually lasts five working days, but the duration may vary in accordance with inter-institutional agreements with each partner university.

Funding of the Mobility

The participants nominated under inter-institutional agreements receive an Erasmus+ grant as a contribution to their travel and subsistence costs. Grant levels and fixed rates for exchanges between EU member states and third countries associated to the program and third countries not associated to the program countries are published in the Erasmus+ Programme Guide.
 

Before the Mobility

An annual Call for Applications will be sent to HUJI’s administrative departments and will be distributed among staff members. There is one deadline per year.

Application Process

  1. Staff are required to carefully review the choices of institutions and select a university offer that seems to be professionally enriching and relevant to their field.
  2. Staff can contact the partner university staff to discuss options for training visits and receive consent for their visit.
  3. Should consent be given, a Training Agreement should be prepared, as required for the internal application.
  4. If the application is successful, the staff member will be nominated for the program by the HUJI exchange coordinator.
  5. Following the nomination and acceptance (note that the internal selection does not by itself guarantee that the mobility will take place!) of the staff member by the host university, the host university should send the nominated staff member an invitation letter after it has received all required documents.
     

Travel Preparations: Gifts and Promotional Materials
It is recommended to take small gifts to your hosts, as often customary in Europe.
The International Office will be happy to provide staff with HUJI promotional materials for distribution and provide guidance on preparations for the visit.

During the Mobility: Program

The program will operate according to the Training Plan Agreement. The visit will extend over a minimum of five working days.
Additional meetings with potential cooperation partners, meetings with students or university officials, etc. can be set up in conjunction with your hosts.
We recommend using the opportunity to promote institutional ties, and the International Office will be pleased to provide guidance if necessary.

After the Mobility

Staff who participate in the exchange program will be asked to submit a report upon their return and participate in a review meeting conducted by the International Office. These surveys will be reviewed by the exchange coordinator, and any issues will be brought to the attention of the International Office. Additionally, returning staff members are encouraged to share their experiences with peers in staff meetings.
